The statement applies to user interaction with the provider of the website, TraiTel Telecommunications, which accepts the applications for the provision of fax, voice and SMS services. TraiTel Telecommunications, like any other company operating in Australia, is bound by the National Privacy Principles as set out in the Privacy Act 1988 (Cth) and the Privacy Amendment (Private Sector) Act 2000.



Information that you provide

When you request TraiTel Telecommunications to act as your provider for your fax, voice or SMS needs, we request from you certain personal information. All the information that we request is compulsory in order to enable TraiTel Telecommunications to process your application, unless otherwise clearly stated. The information that you provide must be complete, accurate and current at the time of registration.

The type of personal information we collect may include your name, address, telephone numbers, information on how you use TraiTel's products and services, such as the type, date, time, location and duration of calls, faxes or other communications. The numbers you call and how much you spend, and your payment method, including credit card details. This information permits us to issue accurate bills and also helps us develop retention offers to suit your needs. We also record site traffic patterns and maintain log files of users' access to site files.

TraiTel Telecommunications also tracks user traffic patterns throughout and we use this information to compare with data about individual users. TraiTel Telecommunications also uses cookies for keeping track of user login and session data.
What happens and what we do with the information that you have provided
The information that you provide is stored on our databases. We use the information for statistical purposes such as to gauge customer's interests.



How TraiTel Telecommunications may use your information

The personal information you provide TraiTel Telecommunications may be used for a number of purposes connected with our business operations, which include:

  • processing your orders or applications;
  • carrying out credit checking and scoring (unless we have agreed otherwise);
  • providing you with products and/or services requested;
  • billing you or administering your account;
  • dealing with requests, enquiries or complaints and other customer care related activities;
  • carrying out market and product analysis and marketing TraiTel's products and services generally;
  • contacting you about our group companies' products and services;
  • registering your details and allocating or offering you rewards, discounts or other benefits and fulfilling any requests or requirements you may have in respect of our and our group companies' loyalty or reward programmes and other similar schemes; and
  • carrying out any activity in connection with a legal, governmental or regulatory requirement on us or in connection with legal proceedings, crime or fraud prevention, detection or prosecution.

We may also use your personal information for purposes related to those described above which would be reasonably expected by you. For example, we may use your personal information to keep you informed about features of TraiTel's telecommunications services or conducting analysis in order to provide better service to you. To opt-out of receiving certain TraiTel's marketing materials, please contact 1300 76 86 16. Please note that TraiTel will still need to send you essential information about your account or changes to your service.

We will not use your information for purposes other than described above unless we have your consent or there are specified law enforcement or public health and safety reasons.

 

Security of Information

The information that you provide and which we receive is stored on our systems that are designed to prevent the loss, misuse, unauthorised access, disclosure, alteration or destruction of that information. We encrypt certain sensitive information such as credit card details and passwords to ensure maximum protection.



Your Rights to Access Change and Delete Information

You have the right and we encourage you to correct or change information in our records such as address and contact information. You may do this by accessing your TraiTel Telecommunications web-messaging interface where all your account information can be altered. You can make changes at any time and as often as you need to maintain currency and accuracy of the information. If you wish to delete any personal information, please email us at: customer-service@TraiTel.com.au. If you request we delete your personal information, we will take reasonable steps to do so unless we need to keep it for legal reasons.



Sharing Information

By default we do not share your information with other third parties except where we are obliged by court order or other request from a law enforcement authority.
Further, we may share the information, apart from sensitive information (destination mobile, FAX, or voice numbers etc), with selected business partners and advertisers. If you do not want us to share your information with our business partners you may email us at: customer-service@TraiTel.com.au.

In addition, TraiTel Telecommunications may disclose or receive personal information or documents about you to/from:

i) credit providers or credit reporting agencies for the purposes permitted under the Privacy Act;
ii) law enforcement agencies to assist in the prevention of criminal activities;
iii) our service and content providers, dealers and agents, or any company within the TraiTel Telecommunications group for purposes that are related to providing you with a telecommunications service which would be reasonably expected.


Our Accountability

When you purchase our services there is a mutual obligation: for you to provide certain information and for TraiTel Telecommunications to safeguard the information and to use and protect it as stated in this statement. It is TraiTel Telecommunications's practice to permit only those employees who are authorised to access and use your information for the purposes outlined in this statement. Furthermore, TraiTel Telecommunications business partners and other authorised entities are permitted to access and use the information of our customers only for the purposes which TraiTel Telecommunications specified and not beyond those purposes.


General

Insofar as they relate to the provision of these services, TraiTel Telecommunications adopts the National Privacy Principles or such other Principles, Code or legislation that may succeed or embody them and for the present are embodied in Australian Communications Industry Forum ("ACIF") C523 - the Industry Code for the Protection of Personal Information of Telecommunications Providers.
